How to delete Google Workspace (GWS) user accounts

Quick checklist (do this before you hit Delete)

  1. Confirm which 4 accounts (example: bringing 11 → 7) will be removed.
  2. Export any necessary data (Drive, Mail, Calendar) or transfer ownership to an active user. Don’t assume deletion preserves anything beyond the short restore window.
  3. Remove or reassign shared resources (shared Drives, group ownerships, calendar resources).
  4. Revoke mobile/device access and 3rd-party app connections if needed.
  5. Make sure you are signed in as a Super Administrator. Only super admins can delete/restore users.

Step-by-step: Delete a user in the Google Admin console (single user)

  1. Sign in to the Admin console at admin.google.com with a Super Admin account.
  2. From the Admin console Home, click Directory → Users.
  3. Find and click the user you want to remove (use the search box or browse OU).
  4. On the user’s account page click the More actions (three dots) menu → Delete user.
  5. Choose whether to transfer the user’s data (Drive files, Mail, etc.) to another user — strongly recommended if you need the data. If you pick transfer, the account is suspended until transfer completes. Confirm the warnings and click Delete.
Tip: If you prefer automation or bulk deletes, you can use the Admin SDK Directory API (users.delete) or undelete with users.undelete. Use APIs only if comfortable or after testing.

Delete multiple users (bulk delete)

  1. Admin console → Directory → Users.
  2. Select the checkboxes next to each user you want to remove (or filter the list then select all).
  3. Click More → Delete users and follow the transfer-data prompts for each. Confirm and delete.

What happens after deletion (important billing & data notes)

  • Deleted accounts enter a short recoverable period. You can restore a deleted user up to 20 days after deletion; after that their data is permanently gone. Act fast if a deletion was accidental.
  • For Flexible billing (monthly): deleting users reduces the license count and usually reduces your monthly payment automatically — but this depends on whether you’re billed directly by Google or via a reseller/partner.
  • For Annual (commitment) plans: user count reductions often take effect only at renewal — you may not see an immediate billing reduction until the contract/renewal is processed. Check your billing terms.

Important for customers of The Good Men Enterprise (our reseller process):

Even after you delete users from the Admin console, billing does not automatically stop on our side. You must raise a ticket to support@thegoodmen.in and inform support which accounts were deleted so our billing team can process the license reduction. If you don’t, you’ll keep being billed for the old count. (This step is required for processing by our reseller team.)

Example: You have 11 users and want to bring it down to (delete 4 users) — exact steps

  1. Identify the 4 users to remove. Confirm backups/transfers for each.
  2. In Admin console → Directory → Users, bulk-select those 4 accounts.
  3. Click More → Delete users. For each, choose whether to transfer data and to whom. Confirm. (If transferring, wait for the transfer completion email.)
  4. Verify the Admin console shows 7 active users. Check Billing → Subscriptions to see current active user count (note: may not reflect reseller-side billing immediately).
  5. Email support@thegoodmen.in with a short ticket: specify the domain, admin name, the 4 deleted users (email addresses), deletion dates, and request billing adjustment to 7 active users. (Template below.)
  6. Keep evidence: screenshot of Users list showing 7 active users + deletion confirmation emails. Attach these to the ticket to speed processing.
  7. If you later change your mind, you have up to 20 days to restore any of the deleted accounts from Admin → Users → Recently deleted.

Restore (if you deleted by mistake)

  • Admin console → Directory → Recently deleted (or click the Users card that shows recently deleted), select the user → Recover. Must be within 20 days. Restoration can take up to 24 hours to fully re-enable services.

Extra tips & common pitfalls

  • Transferring Drive/email ownership BEFORE deleting avoids data loss. If you delete first, you still have 20 days to restore or transfer.
  • If your domain uses LDAP/AD sync (Google Cloud Directory Sync) or an external IdP, remove or exclude the account from the sync scope before deleting in the external system to avoid re-creation or sync conflicts.
  • For very large orgs, consider using the Directory API or scripted flows to perform deletes/transfers in batches; always test with 1 or 2 accounts first.
